“Yes! I Do” Wedding Fair is coming soon! It is an event which organised by ParkCity Everly Hotel Bintulu from 4th to 6th of September 2015. As a public relations trainee, I was given the task to write a press release for the wedding fair which I mentioned before in my previous blog post. I was given the whole working day to write the press release so as to make sure the words and sentences used are grammatically correct.
Besides, the wedding fair’s advertisement were published in different local newspaper in order to inform the publics. Therefore, I was asked to do media clippings for the wedding fair! I took different local newspaper and read all the newspapers carefully to find about the news or advertisement about the wedding fair. This is one of the media clippings that I done for the wedding fair!

Well, it’s not done yet! I was assigned to do a list for the description of all the suppliers as well. As I mentioned just now, there are a lot of suppliers are going to join this wedding fair so I have to list out the number of booth, promotion during the wedding fair, products and services provided from each supplier. There are more than 10 different suppliers are going to join the wedding fair so I need to list out all of them in the list for my supervisor for overview.
However, there are more tasks to do in order to plan and organise this event. I saw my colleagues contacted potential suppliers to ask them to join this wedding fair. It’s very important with the way of communication with the suppliers Unfortunately, some of the suppliers rejected their request due to some personal reasons while some of the suppliers were not answering the phone. Therefore, my colleagues need to figure out other ways to find more suppliers to join the wedding fair. Besides that, my colleagues are responsibility to contact the confirmed suppliers in order to receive payment from them, post the information of wedding fair on ParkCity Everly Hotel Bintulu’s Facebook page and many more.
To ensure the wedding fair can goes on smoothly, my colleagues done a draft of event schedule for the wedding fair. Various entertainments are going to present in the wedding fair such as children fancy dress contest, table decoration contest, fashion show, photography contest and many more. Sounds interesting isn't it? I am so excited about wedding fair too! However, it’s not so easy to arrange those programmes in the three days and I hope I can write an event schedule of a big event in my future working life! I need to gain more experience and ideas from my colleagues, seriously!
On the other hand, a floor plan of the wedding fair for the suppliers is done in order to let the suppliers know the location of their booth. It is very important to inform the suppliers about the location of the booth so as to satisfy their needs as well.
Press releases, media monitoring, designing the event are part of the important tasks to do in organising an event while public relations professionals are playing an important role in carrying out these tasks. Well, event planning is not an easy task as you think! And now I realized the importance of all the tasks! It’s not a piece of cake. I wish that there are more events in the future and I can handle all of the tasks by myself! Good luck!
