Pre-Event Preparation

Hello!

It's been a few weeks since I last blogged. It has been a hectic month for me as I have to rush a few things on hand as I need to prepare everything before the journalists go on holiday. In addition, one of my company's client held an event for their Spring / Summer 12 (SS12) clothes. The event lasted for three days. I would like to share with you all on the pre-event for this post and tell you guys more about the event in the next post.

First thing I have to do for the event was to help my executive sort out the clothing as they are sent over from Hong Kong. In addition, we need to coordinate with the flagship store in Singapore to get more clothes for the event.

Next, I have to prepare the media list so that we would know who to invite and who to send the invitation to. After sorting out the media list, I have to sent an e-invitation to them and do follow up calls one week before the event. Doing follow up calls was not easy as I do not have their direct line and have to go through the operator. What make things worse was that most journalists were never at their desk and I have to bother the executive to call their mobile to confirm their attendance. In addition, I have over 200 media to call. Although it was not a easy task, I got to familiarized myself with the publications, which company they were under (which are mostly Mediacorp or SPH) and the journalists' names. Oh, I have also memorized all the publications' main line number and their operators' name. Some operators were really nice and friendly but others got irritated as I kept calling them.

Next, I have to helped out with the casting of the models. It was really fun seeing all the models doing cat walk and posing. After casting, I have to help out with the fitting. I was really excited as this was the first time that I got to help out in the fitting. It was also the first time where I saw so many people changing right in front of me as there were a lot of models. I felt quite awkward at first seeing the male models changing but slowly, I got used to it and was not bothered anymore.

Another important task that I have to do was to pack the press kit. It was easy but it took me half a day to finish it as I have to print, staple and pack all by myself. Easy but tiring.

My last task was to prepare the things that were needed for the event such as registration list, signboards and clothing.

Pre-event preparation was fun and was an eye-opener for me as it was the first time that I do casting and fitting. It made me very excited about the event too!

A point to note: Do not call the journalist's mobile unless you tried umpteen times and could not get them in their office. Journalists could be annoyed and some of them only allow people whom they have connections with to contact them on their mobile.

Its sort like you choose an interesting company to complete your practical experience with.

I'd like to be involved in the planning of events. It sounds so exciting!

I love fashion and think it would be an interesting industry to be in.

Thanks for the note to remember in this article - dont call a journalists mobile number. I have had a bit to do with the media in my position i did not learn this.

Does this apply to journalists that issue business cards with their mobile number on it also?

Hi Shu Rong!

It sounds like this event is keeping you real busy! I think it is so lucky for you to have the opportunity to be part of a fashion event as it sounds so exciting!

I've been to a couple of media hosting and met a few of the media. They are nice people and I feel you when you say that they are constantly not at their desk and it is so difficult to catch them. What I've learnt is to call them in the morning before they go out for their events.

Hi Cornish,

It will be better not to call the journalist's mobile even though you are able to get them through their business card unless you have a good relationship with them. They can be quite picky on who are able to call them on their mobile and who are not. So it is safer to reach them on their office number.

Hi Weiying,

This event kept me busy for about three weeks to a month as it was quite a major event for the brand.

The media people are nice but they can be quite picky at times. Oh and I tried calling them at different times of the day but to no avail. But I do agree with you that I managed to get most of them in the morning.
