How do you approach potential sponsors?

Being a Sponsorship coordinator in Relay for Life Curtin for about 6 months, approaching sponsors is our weekly routine. Being active is one of the key elements to a successful sponsorship. We constantly approach new sponsors around Curtin University, constantly follow-up with the ones we approached, by popping in; emails or phone calls.

When we approach new sponsors, we give them:
1) Our Event poster, which has brief information about the event. Moreover, if they would let us put up our poster in their store, as a form of advertising.
2) Sponsorship form, written by me and proof-read by the Supervisor. It has detailed information of Relay for Life Curtin, on what we are; what we do; what we need from sponsors and why we need sponsors. It also has detailed information of the Event; what are the benefits in sponsoring us and of course, our contact details for any further queries.

What we say to them when we approach them?
Well, its all about SELL SELL SELL! However, before you could really sell, it is important to believe in the company that you are working for. For me, Relay For Life Curtin is a not-for profit organisation that is standing up against Cancer. It is something I truly believe in and passionate about helping out in such a cause. Therefore, selling comes easier. Unfortunately, not everyone will be on board with our ethical beliefs and would kindly reject sponsoring us. This rejection is probably one of the hardest element of being a sponsorship coordinator. I had learnt that, you can never take rejections too seriously and be able to not let it affect you on your next approach. Sometimes, the rejections could be quite harsh, whereas, some could be quite subtle. The most important part is to eliminate that negativity as soon as possible, before popping into the next sponsor, which is usually only a minute or two.

Another element to remember when deciding which stores to approach, would be the loyalty element. If we already have, for an example, a hair salon sponsoring us, it is best to not approach any other hair salons in the area, as they are competitors.
