A big hello to everyone.
We were always told that events are really stressful, but it does not really matters to us at the time we were sitting in the class, listening to our lecturer as we haven’t participated in any.
I have been involved in a big event: Telethon event, organised to raise funds to finance the various projects that PILS has as well as for its daily functioning.
Time management came handy here and I had to prioritise what is the most important thing to do because there were loads. Between my involvements in the red ribbon preparation, do guest relations for volunteers, and to show them how to do it and to compile who will be coming to the event among the volunteers who have formation and those who haven’t in the same day as well as writing of invitation to the media. It was a very busy day. I also had discussions with my supervisor and other workers about the procedures that have to be made for the event’s stand and what problem could be solved beforehand.
I was given the opportunity to discuss about what should be offered as gifts and helped in organising gifts for persons who contributed more than Rs 100. My opinions were taken into consideration in the meeting, which I was grateful. I realise that working in unison with the team and effective communication is HIGHLY IMPORTANT to get everything done smoothly and correctly. I was pleased to see that on this point, there was no problem enough though everyone was stressed out.
For the Telethon event, I was assigned the task of organising the stand, verify if there is enough pamphlets, condoms, etc, and explain to people what we are doing as well about the organisation together with demonstration of how to use condoms. Here, timidity is out of question as we must be proactive and be conversant and to put people at ease as it is quite sensitive to talk about sex and condoms in Mauritius. Time flew by very quickly that day. I also had to distribute pamphlets and encourage people to make a donation. Also, to set the record straight with other volunteers, little meetings were done about people’s reactions whether they are accepting our leaflets and making donations or not.
Answering to university students who came for an interview for their assignment and replying some questions of journalists and relate them to other people who are capable of answering their questions were also made.
I have also grabbed the chance to take journalist’s contacts for the contact list database I was doing as well had a small conversation with them to create ties.
Though, this was a really tiring day, I have enjoyed it as I have learned a lot and have created ties with the other volunteers.

It's so good to actually get out into the 'work field' and have the experience; and it’s definitely fun not to just write about events but actually be part of an event.
At Variety Children's Charity I helped out with a major event a couple of weeks ago. It was slightly different to your event as this was a 21st anniversary celebration of one of their major annual fundraising events; however I did come across similar experiences. When you said, “I realise that working in unison with the team and effective communication is HIGHLY IMPORTANT to get everything done smoothly and correctly”, I whole heartedly agree with you!!! Team communication is so important; not only for public relation professionals but for everyone else who is part of the team. I think one challenge, which I’m sure we’ll come across in the future, is that it certainly makes it difficult when some members of the team aren’t that good at communicating! I guess in the end it’s then our ability with how we handle these situations and perhaps encourage and display effective communication for others to follow :) Oh the many joys of the PR world! I agree, as much as people say how stressful events are and are not as glamorous as we thought, you only realise the truth through experience. I have also worked on a few events, maybe not as big as telethon, but still enough to cause highly stressful situations.
Communication is definitely a biggie and helping organising fashion shows at a major shopping centre has taught me this. I had to completely understand what my manager wanted, understand what the shopping centre require, understand how what each store wanted to represent themselves in the show and keep the models happy. After finding out each of these it was important to relay this to my supervisor, because messages can be mixed up and confusion is created. I know, because I learnt the hard way.
It's funny how the busiest days go so quick. On one hand I it's a good thing because by the end of it your worn out and tired and just want to go home, and on the other, because it has gone so fast you think that you haven't been very productive.
It's good to see that you have made potential contacts for the future with journalists. I have also made some good contacts, however not many are journalist. Most are within the entertainment industry, such as nightclub, bars and restaurant owners, have been in contact with xpress mag and a lot of other people the company have been involved with. These people range from hairdressers to graphic designers.
I hope you continue learning and enjoying working in the 'real world'. I look forward to reading on.

I’m happy you enjoy my point of view about being part of an event and not just on papers.
It’s a good issue that you have raised: “difficult when some members of the team aren’t that good at communicating!” It’ll be challenging for us to cope with it and do an effective programme to handle this situation.
Encouragement is a good point to start as you suggested and follow-up.
To Ivy:
True. It’s from experience that we learn and grasp things. Confusion can easily be created and as you said messages can be mixed up when there is stress over your shoulders. Particular attention has to be made to avoid that.
I think that the contact you have made, Ivy, are relevant and useful as in the future you may need these contacts for an event. You never know.
