Event Management and Building Relationships

Hi everyone,

What a busy past month in the resource industry. I am glad to report that since my last post I have been extra busy co-ordinating a number of events at my work placement. September and October are two very busy months, as there are a number of seminars, conferences and conventions that my company is involved with.

At the start of September my time was purely focused on my company’s Investor Seminar, in which was held at the Bluewater Grill. For refernce this is a very good venue and the staff are more than accomodating. I was fortunate enough to be given a lot of responsibility in the planning and management of this event and gained some fantastic hands on experience. I always knew that planning an event would be hectic, but I never knew how important every minute spent in the lead up was.
The company invited all current shareholders and potential investors along. The aim of the evening was to inform them about the direction the company was going, projects underway and upcoming projects in the near future. I was first assigned the task of sending out hard copy invitations to all current shareholders, as we only had their mail address. After 800 envelopes and a hundred paper cuts I realised my true appreciation of email marketing. I was able to use my skills learnt in my degree to effectively plan the seminar, and compiled a detailed checklist and run sheet for the evening.

There was a fantastic outcome at the seminar; even though only 75 people rsvp we had 130 attendees on the night, and as mentioned above the Bluewater Grill accomodated very well to the increase in food and beverages needed. At the event I managed the business card draw table and found myself learning very quickly. I was asked a lot of technical questions about the company that I did not know but by the end of the night I could answer them all. I found being put on the spot like that and out of my comfortable zone a challenge but also a very good way to learn more about the company and improve my communication skills. At the event I was able to network with a lot of stockbrockers and business professionals working in Perth. The seminar allowed me the opporutnity to start building business relationships with key professionals in the marketplace and I got as many business as I could.
We monitored the share price as one way to measure the success of the event, this proved very effective. As prior to the seminar the share price increased 3c and increased another 5c after the event. Due to the knowledge I gained in my degree I also knew that evaluating the event was crucial. I provided my boss with a written evaluation, outlining problems that we had, people’s feedback on the night and benefits the company received by having the event.

Aside from the investor presentation, representatives of my company recently attended the All-energy conference in Melbourne and will soon be attending the Mining 09 convention at the end of October. I was given the task of getting a wine sponsor on board, for both conferences, to provide a hamper as part of a business card draw we wanted to do at our booth. This was a very difficult task as I had no current contacts over east and sponsorship can be very hard to get. After contacting over 40 wineries I was able to land one, and I have now built a strategic partnership with the company. I am currently in the process of building relationships with their agents in each state.
This just proved to me that Public relations and good business is all about relationships! If anyone else is having this problem getting sponsors just keep hammering away because someone out there is interested in the opportunity you have to present you just have to find them through trial and error.
