Follow up is everything

If its one thing that I have found to be a huge focus and to be very important to organisation success during the first half of my internship - it's follow up.

Everyone in the office spends a lot of time following up after initial contacts and agreements to ensure that everyone is on track and on the same page towards an event. It has to be timely and polite to ensure that it comes across in the correct way - that you are working towards mutual benefit.

This includes - Analysing feedback and improving processes, but also providing statistics that are used to gain sponsors. Thanking speakers. Thanking attendees. Potential member details. Networking contacts and connecting attendees through mediums such as LinkedIn. Membership packs. Following up emails with calls for personal responses. Updating databases of active contacts. Review of the event and adjustments for future events.

The follow up is key to the delivery of future events, by maintaining and building relationships.

The other thing I was able to do this month is to write for the newsletter. I had to read past newsletters to pick up the style and feel of the writing before being able to write my particular section. It was challenging to not be able to simply sit and write however I would normally do it, but instead I had to think about the audience and the newsletter as a whole to set the right tone and match my language. I really enjoyed this task, as well as writing speaker biographies for upcoming events for the website. It was very rewarding to know that my efforts were going to good use and being read by people. It was also a different kind of challenge to focus on the writing style and content that is required by the newsletter, rather than just how I would normally write an article.

I enjoyed your post, I agree follow is is everything. I learned a few tips for you that I can apply to our next event like linking clients and attendees to our facebook page, But for you it was linked in.

Hey Tonya,

I agree with you on both parts of your post. The importance of following up people before events or for anything really. It helps build successful professional relationships!

I also relate to you finding it hard to change your style of writing for the newsletter. I've been writing for the company magazine and considering my journalist background I've been finding it really hard to syncronise with the style guidelines because they're a lot less rigid than what I'm used to!

I definitely agree with you, that follow up is extremely important!

At my internship, the employees also spent a lot of time following up; and I saw how it really payed off!

We are lucky to have seen how valuable follow ups are; because I feel that it still hasn't been grasped as much as it should be as yet.

I'm sure that there will be much more emphasis on follow ups in the near future, as it is a vital part of relationship management....We are lucky to have had first-hand experience of it early on in our careers!

I completely agree with you, following up everything is incredibly important! It is one thing that you learn on the job as you go along. A lot of the time people make commitments or agree on certain things, only to forget about it or have a miscommunication. You summed it up perfectly when you said that we are working towards “mutually beneficial” relationships!

At the end of the day, our job as PR professionals is to establish and maintain strong and symbiotic relationships.

Putting the newsletter together would have also been very exciting and challenging. Like you said, it is very important to research your audience and the past style and tone of writing. How did it turn out in the end?
