In PR, organizing skills is very important. Planning,
time management; scheduling and Meeting Deadlines are compulsory
in this domain. Thus, at Toyota Mauritius Ltd, an important task has been
allocated to me, it was to organize an event; the Annual Get Together Party
which has been held on Thursday, 31 January 2013. It was a really demanding and
time consuming. As there is no PR department in the company, I have worked in
collaboration with the Managers from the Human Resource and Administrative
departments.
Being involved in the organization of the event was
a very interesting. There are a lot of tasks that have been allocated to me,
such as:
§ Designing the
Invitation card
§ Create an excel sheet of
all the employees who would attend the party
§ Look for the venue
§ Look for the menu
proposals
§ Send and collect confirmation
forms to employees
§ Look for transport
§ Prepare an event plan
§ Create a check list§ Phone company for preparing
award
§ Create a budget
§ Go to the venue to meet
the event agent
§ See the set-up of the
tables
§ Confirm the presence of
the media
§ Shopping – buying gifts
for lucky draw
§ Preparing games, etc...
During my internship, it was the most enjoyable task that has been
allocated to me. I really enjoyed preparing with my colleague the party. Moreover, on that special day, we were not only celebrating the Annual
Get Together Party of the company, but we were also celebrating the brand
itself as Toyota was No. 1 selling Brand 2012. Thus everything have to be done
correctly and in a professional way, as on the day the media were present and a
member of Toyota from Africa as well.

Although,
it was really demanding, I have been working with a lot of pleasure with the HR
and Admin department on this project. I
have never organize such a big event in life before this, thus I can say and
confirmed that it was a wonderful experience. So, in accordance to PR theory, I
have been exposed to use my organizational skills in this projects which has
been successful and I was ready to face the upcoming event.
